Email and document automation that reads the paperwork for you
In short
Berri builds email and document automation for businesses in India. The software reads incoming emails, PDFs and Excel attachments, pulls out details such as order numbers, quantities and dates, and saves them as clean data your team can check. Berri's email and document reading is already built and in daily use inside a working logistics business.
The problem it solves
Orders, invoices, schedules and reports arrive by email every day, often as attachments in slightly different layouts. Someone has to open each one and type the details into another system.
This typing is slow and boring, so it falls behind, and a single wrong digit can lead to a wrong delivery or a wrong bill.
What you get
You get software that watches a mailbox you choose, opens the emails and files you name, and pulls out the fields you need into a sheet, a report or another system.
It checks what it reads. If a document is unclear, has a new layout, or a number looks wrong, it sets it aside for a person instead of guessing.
We built this for our own use and it reads real mail every day inside a working logistics business. Your documents will differ, so the first version is set up and tested on your own examples.
How it works with Berri, week by week
Week 1 is for listening. We meet the people who will use the automation, study how the work is done today, and write down one result we both agree on. Before any build starts, you receive a fixed price in writing.
In week 2 you usually see a first working version reading your real emails or files and filling in the fields, with your team comparing its work against what they would have typed.
Then we run it with you and teach your team, step by step, until they are comfortable. If something stops working or needs a change, you talk to a person. Your data belongs to you and can be exported at any time.
Who it suits and who it does not
It suits businesses that receive the same kinds of documents again and again, by email or as files, and pay staff to retype them.
If you only get a few documents a week, typing them may be cheaper than any automation. And if your accounting or ERP software already reads invoices well, use that feature first.
Handwritten or badly scanned paper is harder to read reliably. We test a sample before promising anything for such documents.
Common questions
Can software read invoices and purchase orders from email automatically?
Yes. Software can watch a mailbox, open the invoices and orders that arrive, and pull out details such as numbers, dates, items and amounts. Berri's version checks what it reads and sends unclear documents to a person. It is already in daily use inside a working logistics business.
What happens when a document comes in a new format?
A good system notices that the layout has changed and does not guess. Berri's automation sets such documents aside for a person to check, and the new layout can then be added. This keeps wrong numbers from quietly entering your records when a sender changes their template.
Can it read Excel and PDF attachments?
Yes. Excel sheets are usually the easiest to read reliably, and typed PDFs work well too. Scanned or handwritten papers are harder, so Berri tests a sample of your real documents in week 1 before agreeing what the software will handle and giving a fixed price.
Does email automation send replies on its own?
Only if you want it to, and only for messages you approve. Berri usually starts with reading and recording, while a person on your team handles anything sent outside the company. Sending can be added later as a separate, clearly limited job once the reading is trusted.
Is it safe to give software access to our business email?
Access is limited to the mailbox and messages the job needs, and agreed in writing in week 1. Berri does not read anything outside that. Your data stays yours and can be exported at any time. Where possible a separate mailbox is used, so personal mail is never touched.
